Finland International Improv Festival’s Customer Register
- PURPOSE OF THE PROCESSING OF PERSONAL DATA
This register’s purpose is to enable Finland International Improv Festival’s online business by collecting such information as order information, billing information and payment confirmation or processing information between the merchant and the customer.
Furthermore, the data is used for festival production tasks when producing the Finland International Improv Festival in Tampere, Finland. This data includes festival pass & workshop registration lists, accommodation data and room lists and lists of ticket sales information and any other registry list required to produce the festival.
Additionally, the purpose of the register is to enable contacts that are required for providing customer service and maintaining customer relations. (as well as for direct advertising when it has not been prohibited by the customer).
- INFORMATION CONTENT OF THE DATA FILES
Customer’s personal details: first and last name, date of birth, contact information (for example phone number and e-mail), nationality, gender, if needed, the billing information of the customer. From business customers: the company name, address, contact information and business ID are also collected.
Customer service information: information on customer review, comments on register holder’s services and other information and feedback received with customer’s consent.
Information connected to customer’s preferences (such as diet, shirt size, accommodation preferences or information about additional services requested)
Customer’s permission to direct advertising made with e-mail.
Information in legal prohibition of direct advertising, distance sales and other direct marketing.
Other information collected with the permission of the customer, that is needed to provide services requested.
- REGULAR SOURCES OF INFORMATION
Every customer’s personal details and contact information are collected online using a service called Typeform – online forms. Customers fill in their details trough Typeform upon registration and have to agree on the festivals Privacy Policy and Terms during the process. Typeform gathers their data to their own register, for more information on them please see Typeform’s Privacy Policy.
We use a third-party provider, Holvi, to provide our webstore service. Holvi gathers their data to their own register. For more information on them please see Holvi’s Privacy Policy. We use data from Holvi such as first and last name, address and contact information (for example phone number and e-mail) and customers product orders to provide the services required for our event. We don’t have access to any payment detail information.
We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our newsletter. For more information, please see MailChimp’s Privacy Policy. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing us at info@finlandimprovfestival.com
- REGULAR DESTINATIONS OF DISCLOSED DATA AND DATA TRANSFER TO COUNTRIES OUTSIDE THE EUROPEAN UNION OR THE EUROPEAN ECONOMIC AREA
Information is not disclosed regularly from the register or from register holder’s possession.
If the register holder sells, reorganises or otherwise gives the business either fully or partly, this data in question can be transferred. Data is not transferred outside the EU or the EEA.
Register holder can transfer customer’s personal data to third parties like the police or other legitimate authorities if the matter is about investigating a crime or if it is instructed by the law or a decision of the authorities.
- DATA PROTECTION POLICY
Manually processed data
If content is printed out from the register saved in the server, the manual content is held locked in it’s physical location. Only the register holder and legitimate authorities have the access rights to the content.
Electronically processed data
Register is located in Finland International Improv Festival’s cloud server. The full register information is accessible only to the register holder, maintenance personnel and legitimate authorities. The information is protected by appropriate technical and organizational procedures in case of disappearance, conversion or access without legal rights. - RIGHT OF ACCESS AND REALISATION OF THE RIGHT OF ACCESS
Everyone has the right of access, after having supplied sufficient search criteria, to their personal data file in the register, or to a notice that no such data exists in the register. Anyone who wishes to have access to the data on themselves, shall make a request to this effect to the controller by a personally signed or otherwise comparably verified document or by appearing personally in the premises of the controller by booking an appointment.
- RECTIFICATION AND REALISATION OF THE RECTIFICATION
Everyone has the right to request rectification of invalid register information.
The rectification request should be made in writing and with sufficient details.
- OTHER RIGHTS RELATED TO THE PROCESSING OF PERSONAL DATA
According to the Finnish information privacy law 30 § “everyone in the register has the right to prohibit the use of their information for direct advertising, distance sales and other direct marketing, market surveys and polls, as well as for the compilation of genealogies and registers of individuals.”
